Pricing

MySentinel is priced per active learner, per month — you pay for learners who actually use the system, not for software seats, not per campus, and not per scan. There are no setup tiers and no per-feature upsells: every school on the platform gets the same full product.

The rate

R60–R120 per learner per month, volume-based — from R120 per learner for smaller schools down to R60 at scale. Larger rolls pay less per learner.

The rate is quoted excluding 15% VAT, and each school gets a per-school quote for its own learner count. To size it for your school, use the estimator on the pricing page:

What’s included

Everything that makes MySentinel a safety system is in the per-learner price — there is no premium tier:

  • The full officer gate flow — NFC badge scan, check in / check out, guardian-optional release, permanent confirmed records.
  • The full admin workspace — answer-first dashboard, learners, classes, attendance, absences, emergency, safety mode, day-close, settings, staff, reports.
  • Class-teacher workspaces — class roster, daily roll, report digest, and live pickup approvals, scoped to assigned classes.
  • The tokenised parent portal — real-time learner status for guardians, no login required.
  • Real-time everywhere, trilingual English / Afrikaans / isiZulu, and per-school branding.
  • Security and compliance — tenant isolation, passkey step-up on sensitive actions, encryption at rest, POPIA subject-access and erasure workflows, and an append-only audit trail.
  • Guardian notifications by app push, email and WhatsApp, included.
  • WhatsApp on MySentinel’s own business account — no Meta account to open, no message templates to get approved, and no per-message bill to your school.
  • Onboarding a new campus — no professional-services fee to add a school.

What messaging costs the school

App push, email and WhatsApp all carry routine, everyday traffic at no per-message cost to you. WhatsApp is the one that usually surprises people, so it is worth being precise: it sends from MySentinel’s own WhatsApp business account, approved once for the whole platform. Your school never registers with Meta, never waits on a template review, and never receives a conversation bill — that cost sits inside the per-learner rate. What your school does is switch the channel on, and what each guardian does is confirm their number once, so nobody is messaged on a number they have not claimed.

SMS is the only channel arranged per school, because it is the expensive last resort used when nothing else reached a family. It is priced one of two ways:

  • Bring your own account — connect your school’s own SMS provider; your provider bills you at your rates, and MySentinel never marks them up.
  • Platform-provided — your operator meters the messages and passes the provider cost through with a disclosed handling margin, itemised on your invoice.

See Notifications for how each channel is used.

How billing works

Billing is handled by your MySentinel operator, outside the app. The rate is quoted, invoiced, and collected by the operator — there are no prices, invoices, or payment screens anywhere inside MySentinel. You get a clear monthly statement tied to auditable in-product numbers, and pricing stays negotiable per group rather than locked to a rigid self-serve tier.
